The following checklist can be printed and completed for each student property.

1. Property Condition

  • Property has been fully cleaned.
  • Floors, skirting boards and surfaces are clean.
  • Inside cupboards and drawers have been wiped out.
  • Appliances are clean and working.
  • Fridge and freezer have been emptied and cleaned.
  • Washing machine drawer and seal have been checked.
  • Windows and window frames are clean.
  • Garden, yard, balcony or communal outdoor areas are tidy.
  • Rubbish and unwanted items have been removed.

2. Furniture And Fixtures

  • Beds and mattresses are present and in good condition.
  • Desks and chairs are provided where agreed.
  • Wardrobes and storage areas are clean and usable.
  • Curtains or blinds are present and working.
  • Sofas and other furniture are clean and undamaged.
  • Light fittings and bulbs have been checked.
  • Radiators and heating controls have been checked.
  • Doors, locks and handles are working correctly.

3. Safety And Compliance

  • Required gas safety arrangements are up to date where applicable.
  • Electrical safety requirements have been completed.
  • Smoke alarms have been tested.
  • Carbon monoxide alarms have been tested where required.
  • Fire doors and escape routes are clear.
  • Fire safety equipment is present where required.
  • Urgent repairs have been completed before move-in.
  • Any HMO licence conditions have been checked.

4. Inventory And Evidence

  • A full inventory has been prepared.
  • Photographs have been taken of every room.
  • Existing marks or damage have been photographed clearly.
  • Meter readings have been recorded.
  • The condition and number of keys or fobs have been recorded.
  • The inventory has been provided to the tenants.

  • Back door or communal entrance keys are available.

  • Previous tenants’ or contractors’ keys have been removed or accounted for.

6. Tenant Information

  • Rent payment details have been provided.
  • Deposit information has been issued where applicable.
  • Emergency repair contact details have been provided.
  • Out-of-hours contact arrangements have been explained.
  • Heating and hot water controls have been explained.
  • Appliance instructions are available.
  • Internet details have been provided where included.
  • Waste and recycling arrangements have been explained.
  • Tenants know how to report repairs and maintenance issues.

7. Shared Student Houses

  • Each tenant knows which bedroom is allocated to them.
  • Shared kitchen and bathroom arrangements have been explained.
  • Communal cleaning responsibilities have been discussed.
  • Shared furniture and appliances have been checked.
  • Tenants understand how to report damage in shared areas.
  • Fire doors and escape routes must remain clear.
  • House rules have been provided where applicable.
  • Tenants understand that locks or property fixtures must not be altered without permission.

8. Final Move-In Sign-Off

  • Property is secure before the tenants arrive.
  • Correct keys have been handed over.
  • Inventory process has been explained.
  • Meter readings have been confirmed.
  • Outstanding works have been communicated.
  • Tenants know how to report urgent and non-urgent repairs.
  • Move-in has been recorded in the property records.
  • Tenant questions have been logged and followed up.
